HR Assistant
Caritas Malta is seeking to recruit an HR Assistant on a full-time basis to work within its Human Resources department.
Role Responsibilities
The HR Assistant is a key operational support role responsible for maintaining the efficiency and compliance of the Human Resources function. This position involves managing employee HRIS data integrity, processing and handling of confidential employee records, coordinating recruitment logistics from scheduling to onboarding, ensuring a smooth employee lifecycle, and acting as the initial point of contact for internal HR-related queries.
In addition to the above, the HR Assistant shall also have a central role in the coordination and implementation of training and CPD events, which also include compiling and processing applications for local and EU funding. The selected person shall also organise and coordinate organisational HR events.
A key role that the HR Assistant will undertake is that of being the main contact and focal point for volunteers within Caritas. The incumbent is expected to develop strong relationships with Caritas volunteers, coordinate volunteering placements and events, identifying volunteering needs across Caritas units, recruitment and onboarding of volunteers, and be responsible for nurturing and upholding the strong volunteering culture that is intrinsic to Caritas.
The HR Assistant shall be accountable to the Human Resources Manager of Caritas and the incumbent is expected to work in a team.
Required Criteria
This role requires a mature and responsible person that meets the following criteria:
- possesses a qualification at MQF level 6 in a social wellbeing subject or HR. Qualifications below this level may be considered depending on candidate’s previous work experience;
- have excellent people skills and a strong empathic nature;
- be highly organized, efficient in managing data/paperwork, and have an eye for detail;
- must have a high degree of accountability and flexibility;
- be able to work well under pressure and in a dynamic, fast-paced work environment whilst meeting deadlines. Prioritization and multi-tasking skills are essential;
- have a can do attitude and problem-solving skills;
- must have high awareness of data protection, confidentiality, and exercise ethical handling of sensitive personal data;
- have a strong aptitude for teamwork;
- must be computer literate, have good typing skills, and confident in using general Microsoft Office applications especially Outlook, Excel and Word;
- previous experience in using Shireburn Indigo or other HR software will be considered an asset;
- be mature with sound moral values;
- possess excellent verbal and written communication in both Maltese and English;
- be skilled in report writing and able to handle EU-standard applications;
- possess a clean driving licence.
